Registration Process

Entry

The registration is most commonly entered by the Club Administrator using the New Registration Wizard and varies slightly depending on whether that Person already exists in the system or not. This is the first step in creating a registration, ending in status ENTERED.

Upon entry of the registration,

the following system validations occur for official player registrations:

A. check if official player registrations in the same discipline (sport) for 3 different clubs have already been carried out in that same competition season. If yes, the process is interrupted because, according to FIFA RSTP, the player cannot be registered for more than 3 clubs in the same discipline in the same season.

B. check if the registration period (date from - to) overlaps with another official player registration in the same discipline. If yes, the process is interrupted because, according to FIFA RSTP, the player can simultaneously play only in one club at a time.

the following system validation occurs for all registrations:

C. In the case of First Registration of Player, the system first checks that all mandatory personal fields have been entered, and then looks for person duplicates according to the below matching criteria, and blocks further entry if a duplicate is found:

  • Person Name + Date of Birth (combination)

  • E-Mail

  • National ID

Submission

Once all mandatory fields have been entered and documents uploaded, the Club Administrator submits the registration to the governing body either at the same time when entering in New Registration Wizard or later in Registration Detail.

Upon submission of the registration,

the following system validations occur for official player registrations:

the system runs again the validations A and B as in case of registration entry, plus:

D. check if another official player registration process is being actively processed (Submitted, Returned, Waiting) in the same discipline (sport). If yes, the process is interrupted because the player cannot simultaneously undergo two official registration processes.

E. If the player is officially registered (Approved, Confirmed) for another club in that same discipline, the transfer request notification is sent to the other (releasing) club, requesting from that club to terminate (if Confirmed), or cancel (if Approved) the current registration of the player.

the following system validation occurs for all registrations:

F. checks that all mandatory documents have been uploaded.

After submission, the registration ends up in one of the following statuses (depending on Workflow):

  • Submit With Approval: SUBMITTED; approval from the governing body is required

  • Submit Without Approval: CONFIRMED; no further approval from the governing body is required

  • Pay After Approval: SUBMITTED; approval from governing body, and then payment is required

Approval

For the following two workflows, a review and approval is required by the governing body (Player Administrator):

  • Submit With Approval: Approval by the governing body confirms the registration (status=CONFIRMED)

  • Pay After Approval: Approval by the governing body (status=APPROVED) plus subsequent payment of the registration fee by the club confirming the registration (status=CONFIRMED)

Review and Approval by the governing body is done using the Registration Approvals Console

At the end of the process, the registration switches to status CONFIRMED, and the person becomes eligible to participate in matches. For example, the player can only play if its registration is in status CONFIRMED.

Upon approval of the registration,

the following system validations occur for official player registrations:

the system runs again the validations A and B as in case of registration entry and submission, plus:

G. check if another approved or confirmed official player registration in the same discipline (sport) exists. If yes, the process is interrupted because, according to FIFA RSTP, the player can simultaneously play only in one club at a time.

H. Messages are sent to FIFA Connect ID and the FIFA Clearing House Systems.

The Player Administrator may also disapprove the registration and has two options:

  • Return (Save as RETURNED): the registration is returned to the club with instructions to resubmit the registration with additional info or documents,

  • Reject (Save as REJECTED INT): the registration is rejected, and the process is completed.

the following system validation occurs for all registrations:

F. checks that all mandatory documents have been uploaded.

The Player Administrator is responsible and authorized for confirming and managing registrations of players in clubs beneath its hierarchy. For club registrations in other registration categories (coaches, staff and officials), dedicated respective roles are authorized (Coach Administator, Staff Administrator, Officials Administrator).
