Roster Workflow

MyCOMET Features described in this article will be deployed on all Demo instances by 28 October 2026 and migrated to Production on 05 January 2027.

The Roster Workflow defines how clubs prepare and submit their Competition Roster, and whether the roster, or each person in it, must be approved by the competition organizer. The workflow is set per competition by the Roster Submission Mode and applies in the same way to all associations using COMET.

Roster Settings

The roster settings of a competition are managed in the Roster panel on the Details tab of the competition in the MyCOMET Admin View, below the Application panel. To change them, click Edit.

Setting

What it means

Roster Submission Mode

Defines whether clubs submit their rosters and whether approval is required for the roster as a whole or for each person. See Submission Modes below.

Roster Submission Period (Date/Time From - To)

The period during which clubs can prepare and submit their rosters. Both start and end are set with a specific time. Displayed only if a submission mode other than Manual is selected.

Max Players in Roster

The maximum number of players in the team roster, shown on the Roster tab as a counter, e.g., 15/22. Always displayed.

Max Players in B Roster

The maximum number of players in the B roster, if the B roster is used in the competition.

Roster Submission Survey Template

The survey that clubs must complete when submitting their roster. The survey questions are managed in the Roster Submission panel of the Surveys tab of the competition. For details, see Competition Application Surveys.

In the legacy COMET UI, the roster settings are displayed in read-only mode on the competition's Registrations tab, with a link to the competition in MyCOMET where they can be edited.

Submission Modes

Mode

What it means

Manual

Clubs do not submit rosters. Rosters are managed only by Competition Administrators and, if needed, by appointed Competition Managers.

Just Submit

The club submits the roster and all persons in it. No approval is required: once submitted, the roster is Confirmed right away.

Submit With Approval

The club enters the persons while the roster is in Roster Pending and then submits the roster, which moves to Roster Submitted. The relevant Competition Administrator or Manager reviews the roster as a whole and confirms it. Persons do not require individual approval.

Individual Approval of Players

The roster as a whole does not require approval. The club submits players one by one, and each player requires individual approval. Team officials are added without approval.

Individual Approval of Players and Staff

The roster as a whole does not require approval. The club submits players and team officials one by one, and each person requires individual approval.

Defined on Competition Element

Available only on Combination (Parent) Competitions. Rosters cannot be added to the parent competition. The roster submission mode is defined, and rosters are added separately on each competition element. See Combination Competitions below.

Combination Competitions

Competitions with several phases, e.g., a regular season and play-offs, are set up as a Combination (Parent) Competition with competition elements. The Roster Submission Mode selected on the parent competition defines where rosters are maintained:

Roster Submission Mode on the parent

Where rosters are maintained

Defined on Competition Element

On each competition element separately. The other roster settings are hidden on the parent competition, and the Roster panel is available on each competition element, where its own Roster Submission Mode, period and limits are defined. The Roster tab of the team on the parent competition displays an info box explaining that rosters can only be added to competition elements.

Any other mode

Only once, on the parent competition, and the roster applies to all its elements. The Roster panel is not displayed on the competition elements. The Roster tab of the team on each competition element displays an info box with a direct link to the team's roster on the parent competition.

Team applications are not affected: application settings can still be defined, and clubs can apply to both the parent competition and its elements.

Roster Statuses

The status of the team roster is shown on the Competition Team page and on the Teams tab of the competition.

Status

What it means

Roster Pending

Used in Just Submit and Submit With Approval modes. The club is preparing the roster. Players and team officials can be added and removed. The club submits the roster when it is complete.

Roster Submitted

Used only in Submit With Approval mode. The roster has been submitted and is waiting for review by the Competition Administrator or Manager.

Confirmed

The roster is confirmed. In Just Submit mode, the roster becomes Confirmed directly upon submission. In Submit With Approval mode, after approval by the Competition Administrator or Manager. In the Individual Approval modes, the roster is Confirmed and persons are submitted and approved individually.

Person Statuses

Each player and team official in the roster also has their own status, shown on the right side of their entry on the Roster tab. In Manual, Just Submit and Submit With Approval modes, persons are Confirmed directly when added to the roster. In the Individual Approval modes, persons who require approval go through the following workflow:

Status

What it means

Submitted

The club has submitted the person who is waiting for review by the Competition Administrator or Manager.

Returned

The person has been returned to the club, which can update and resubmit them.

Rejected

The person has been rejected and cannot represent the team in the competition.

Confirmed

The person is in the roster and eligible to represent the team in the competition, subject to the competition's lineup rules.

Terminated

The person is no longer in the roster. Terminated persons are hidden by default on the Roster tab.

Who Can Edit the Roster

Superusers, Competition Administrators of the organizing association or above, and Competition Managers appointed to the competition can manage rosters at any time, in all modes.

Club Managers and Lineup Managers of the club can add players and team officials only within the roster submission period, and only in the following cases:

Roster Submission Mode

When clubs can edit the roster

Manual

Never. Rosters are managed only by administrators.

Just Submit, Submit With Approval

While the roster is in Roster Pending.

Individual Approval of Players, Individual Approval of Players and Staff

While the roster is Confirmed, by submitting persons one by one.

Once the roster submission period has ended, clubs can no longer add persons or change their statuses. Other club roles, e.g., Registration Managers, cannot edit rosters.

Club Guide

  1. Open the Competitions menu and click the competition to open your Competition Team page. The Application tab shows the roster submission mode, the roster submission period and, if defined, the roster submission survey.

  2. On the Roster tab, add the players and team officials while the roster is in Roster Pending status. For details, see Competition Roster.

  3. Submit the roster within the roster submission period. If a roster submission survey is defined, complete it as part of the submission.

  4. Depending on the submission mode, the roster is either Confirmed right away (Just Submit) or moves to Roster Submitted and waits for review (Submit With Approval).

Individual Approval Modes

In the Individual Approval modes, the roster itself is not submitted. Instead, within the roster submission period, add the players (and, in Individual Approval of Players and Staff mode, the team officials) to the roster one by one. Each submitted person moves to Submitted and waits for review by the Competition Administrator or Manager. If a person is Returned, update and resubmit them. In Individual Approval of Players mode, team officials are added without approval.

Admin Guide

Superusers, Competition Administrators of the organizing association or above, and Competition Managers appointed to the competition can:

  • Review submitted rosters - in Submit With Approval mode, open the team on the Teams tab and confirm the submitted roster. The submitted roster submission survey is displayed in the Roster Submission Survey panel on the Application tab of the Competition Team.

  • Review submitted persons - in the Individual Approval modes, open the team's Roster tab and click a submitted person to open the person dialog, where you can change their status. The dialog also shows the person's status history.

  • Confirm or terminate persons in batch - on the Roster tab, select several persons and use the Batch menu:

    • Confirm - available in the Individual Approval modes when at least one Submitted person is selected.

    • Terminate - available in all modes when at least one Confirmed person is selected.

The transition comment you enter applies to all selected persons, and a summary dialog shows how many persons were confirmed or terminated. Batch actions are not available if the selection mixes Submitted and Confirmed persons.

  • Act on behalf of clubs - carry out roster actions in place of the club, e.g., submit a roster that is still in Roster Pending.

  • Return rosters in batch - on the Teams tab, select one or more teams with a Confirmed roster and click Batch Return. After confirmation, the selected rosters are returned to Roster Pending, so the clubs can update and resubmit them. This is useful when reopening rosters for all teams during the mid-season registration window. Batch Return is available only in Just Submit and Submit With Approval modes, and only for Confirmed rosters.

Admin Notes

Open questions for review. Remove this section before publishing.

Roster Workflow (this article)

  • Confirm the exact label of the Submit action and the Batch Return link, and whether Batch Return is on the Teams tab of the Admin View only.

  • Is MYCOMET-1063 (roster automations related to registration status) part of this workflow?

  • MYCOMET-1081 (acting on behalf of clubs) is still in review/QA - confirm before publishing.

  • Who can Return or Reject an individual person (admins only?), and is the Rejected description correct?

  • In the Individual Approval modes, when does the team roster become Confirmed (automatically, e.g., when the application is confirmed)?

  • Can clubs terminate their own Confirmed persons? (Open question in MYCOMET-1005 QA.)

  • On the Roster tab, the Players panel shows an Options menu and the Technical Staff panel a Batch menu - is the batch action for players inside Options?

  • In Individual Approval of Players mode, is batch Confirm also shown for team officials, or only for players?

  • MYCOMET-1071 (Defined on Competition Element) is still in review - link icon and parent/child order pending QA.

  • How were existing combination competitions migrated, especially those with rosters on both parent and element level? Which mode did the script set?

  • With Defined on Competition Element, can each element use any mode, including the Individual Approval modes?

  • When rosters are maintained on the parent, which roster applies on matchday in element matches (Catalogue Restriction Level, suspensions)?

  • On a competition element, are the available players limited to those in the parent roster?

  • Does Batch Return on the parent's Teams tab work when rosters are defined on competition elements?

Competition Roster

  • Available players and team officials require a Confirmed registration (MYCOMET-1081 #3) - confirm after QA.

Competition Roles

  • Mandatory/Conditional: MYCOMET-1056 says "no need to do now", but QA tested that a mandatory role blocks saving the roster, and the newsletter lists Optional, Mandatory and Conditional. Is it available? Does an empty mandatory role block saving or submitting the roster?

  • Default setup: the 1056 script configures all roles used in the last two seasons as Dynamic, but the newsletter says only Head Coach is preconfigured. Which applies on Production?

  • Admin App screen: does Competition Roles have separate Match Officials and Team Officials tabs, as on Match Roles? Do both Sport and Competition Type apply to Team Official roles? What is the exact label of the Static/Dynamic/Both field (written as "Type")?

  • On matchday, does the Catalogue Restriction Level for team officials use the role stored in the roster?

Competition Tabs

  • Confirm whether the Surveys tab is renamed from "Survey" and when it is displayed (Roster Submission Mode other than Manual).

Competition Team

  • Application tab: Survey panel renamed to Team Application Survey, new Roster Submission Survey panel, and roster submission mode/period shown in the Club View - confirm final labels.

  • Where is the Submit button (Roster tab or Application tab)?

Create and Configure Competition

  • Confirm the field labels in legacy COMET (Date from, Date to, Max registered players) still match the KB text.

Add Clubs and Start Competition

  • MYCOMET-1081 #2 allows admins to add clubs manually in all application modes except Defined at Competition Element. This conflicts with the current text (Add only when no Application Type is set). Does it apply to legacy COMET, MyCOMET, or both?

Competition Automatic Email Notifications

  • Which roster status transitions send emails, and to whom? (QA of workflow emails pending in MYCOMET-1081.)
